Finance Associate/Pledge CoordinatorReporting To: Finance DirectorCore Hours: Full-time, 37.5 hours per week. Office open Monday-Friday, 8:30 am to 4:30 pm. Must be able to work a flexible schedule with the possibility of some early morning, evening, and weekend work.Salary and Benefits: Starting salary from $17.98/hour to $20.28/hour commensurate with experience and education.Health benefits and Earned Sick and Safe Time (ESST) provided.Overall Purpose of This Role:* Work collaboratively with the Finance Director on the general accounting functions of the organization and on the financial aspect of campaign pledge and payment processing, helping to maintain the integrity of all fiscal records.* Support United Way's commitment to excellent customer service through positive relationship-building with donors, community partners, and United Way staff.Key Accountabilities:Pledge Coordination* Be responsible for the United Way pledge and pledge payment process from the time pledges and payments reach the United Way office, are audited, and are entered into Andar and Abila software systems* Assure that pledges entered into United Way systems are supported by documentation adequate to support the existence of a verifiable pledge made by the donor so that revenue is properly recorded to campaign records and to United Way financial statements* Assure that pledge payments made to the United Way are recorded to their proper account and campaign year in an accurate and timely manner* Respond to inquiries and requests regarding campaign pledges and payments* Produce and mail monthly campaign billing statements* Collaborate on the processing of monthly credit card transactions of campaign payments as well as daily credit card receipts* Complete data entry of pledges and pledge payments* Reconcile on a regular basis and at month end, pledges and receipts between Andar database and Abila general ledger accounts* Direct and provide support to the auditing and cashiering process of campaign envelopesFinance Associate* Process accounts payable: review for accuracy and prepare invoices and check requests for approval, match to POs, process checks, obtain authorized signatures and mail checks* Process billings for special events, sponsorships, and other activities, and provide appropriate follow-up* Assist with the annual audit* Maintain petty cash and assist in other cash reconciliations* Assist with IRS receipts to donors contributing over $250* Review and enter non-campaign receipts to the general ledger in Abila* Serve as backup for processing biweekly payroll* Handle gate receipts at United Way eventsAdditional Accountabilities* Maintain collaborative working relationships with United Way staff and partners* Use tact and judgment in working with others effectively* Provide exceptional customer service to both internal and external customers* Attend organizational and committee meetings as directed* Perform other duties as assignedSupervision and Working Relationships:* Position works under the direct supervision of the Finance Director* Position works with United Way staff, donors, volunteers, and external vendors as appropriateEducation, Training, and Prior Work ExperienceRequired:* Associate's degree or equivalent in accounting from two-year college or technical school and five years of related experience or training or equivalent combination of education and experience* Strong time management and ability to work independently* Ability to prioritize and balance competing demands; ability to plan and meet deadlines* Ability to recognize potential problems and formulate action/reaction* High degree of confidentiallyTechnical Knowledge:* Proficiency with Microsoft Office, including Word and Excel, and the Internet* Proficiency with Abila MIP accounting software and Andar by Helix database is beneficial* Excellent project coordination, verbal, and written communications skills; ability to read and interpret documents such as invoices, purchase orders, and procedure manuals; ability to communicate issues and findings to the Finance DirectorPhysical Demands:The physical demands described here are representative of those that should be met to successfully perform the essential functions of this job.
